Administrative Assistant

summary:

The Administrative Assistant is a servant of many, supporting all of the teams at Epipheo and is the first contact for clients and guests visiting the office.

RESPONSIBILITies:

  • Receptionist
    • Creating great experience for all guests to the office (including clients, vendors, and other guests)
    • Receiving and sorting mail, shipping packages
    • Prepare meeting rooms and refreshments for client visits
       
  • Administrative Assistant
    • Support the CEO, COO and Board with scheduling meetings/appointments, assisting with travel arrangements, and expense reporting
    • Support Accounting team with clerical work including filing, scanning, etc
    • Support Marketing and Sales teams with clerical work
       
  • Office Facilities & Workforce Support
    • Purchase & stock office snacks and refreshments
    • Work with vendors to secure lunches, order tea & coffee
    • Ensure the cleanliness of the office including managing the cleaning crew schedule and special requests, straightening up after events or meals
    • Lock up doors in the afternoon
    • Manage office needs and supplies of all employees
       
  • HR Support
    • Support the onboarding process including obtaining all relevant employment documentation
    • Manage former employee email accounts to ensure no business related communications gets lost
    • Manage Google Apps account including setup for new employees and deletion and archiving of former employee accounts
    • Manage contracts and other documents for onboarding and HR purposes

details:

  • Part Time position, 20-25 hours per week
  • Work from our office in Cincinnati 5 days a week
